What to Bring

Bring your own generators, extension cords, lighting, chairs and any cooking equipment; food vendors must provide a hand-washing station and display permits and licenses at their space.

Shelter & tables

Food booths must bring a tent; retail vendors bring two 6 ft tables and linens (set as an L shape).

Fire safety equipment

All vendors must have an up-to-date 2-A:10-B:C fire extinguisher; deep-fry or open-flame vendors must also have a Class K extinguisher and create a barrier that keeps the public at least 6 ft from cooking appliances.

Planning Your Outing

When will I receive my booth confirmation and layout?

You will receive booth confirmation and a full layout no later than one day prior to the event.

What are the entry and setup times?

All vendors must enter between 2:30pm and 4:30pm and be completely set and ready by 5:00pm; vendors arriving after 4:30pm will not be permitted inside the event area.

Is electrical power provided?

No—food truck and booth vendors must provide their own electricity, generators, lighting and extension cords; no source of power or additional lighting will be provided by the event.

What is the refund and cancellation policy?

No refunds will be issued once payment has been submitted; the only circumstance for a full refund is if Charming Events Hawai’i chooses to cancel the event entirely.

What insurance and documentation do I need?

Vendors must provide a certificate of liability insurance with at least $1,000,000 per occurrence and $2,000,000 aggregate naming Charming Events Hawaii Corp. and Royal Hawaiian Golf Club as additional insured; each COI must be submitted no later than 72 hours prior to the event.

Who is responsible for trash and site cleanup?

Each vendor must remove all trash, ice, oil and food debris at the conclusion of the event; there is no dumpster on site and failure to comply may result in additional cleanup fees.
